Add a User

This window enables the system administrator to create Loan Performer user accounts, enter passwords and specify the different settings for each user account.

How do we add a user?

To add a user go to System/Users/Add a user, a screen like one below appears:

Click on the Add command button and a screen like the one below shows up:

• User name: Enter here the name of the new user, e.g.,"James".  It is a compulsory field and supports up to 18 characters

Note that this will be the name by which the User will login to Loan Performer.

• Surname: Enter here the user's surname, e.g., "Peter Okoche". It is a compulsory field and supports up to 30 characters.
• Address: Enter the address of the user, e.g., "P.o.box 61 Soroti". Filling this field is optional.
• Phone: Enter the telephone number of the user, e.g.,"256772857554". This field is optional.
• Bank A/C: Here enter the user's bank account, e.g., "00012121001". This field is optional.
• Sex: Select the gender of the client from the drop down box, e.g., "Male".
• Email: Enter the email address of the user, e.g.,"jamesp@gmail.com". This field is optional.
• View savings transactions history of a client: Tick this item if you want the user to be able to view client's savings history like savers statement
• Function: Here you have to assign the new user his/her function e.g. "Supervisor". Function defines the type of access rights given to a specific user. The access rights are set at System/Configuration/Set User Access Rights. Loan Performer has 12 predefined functions hierarchically listed below:

  • 1. Supervisor
  • 2. Branch Manager
  • 3. Assistant Manager
  • 4. Accountant
  • 5. Accounts Assistant
  • 6. Cashier
  • 7. Loans Officer
  • 8. Savings Officer
  • 9. Teller
  • 10. Clerk
  • 11. Guest
  • 12. Insurance agent

Please note that only a Supervisor and a Branch Manager have full access to the Loan Performer application, including the Configuration menu. The difference between these two functions is that the Supervisor has access to the module "Tools" and that his access rights are unlimited and cannot be modified. For the remaining 10 functions you can modify at System/Configuration/Set User Access Rights.

• Language: From the drop down list choose the user's language, e.g., "English". This means that when this user is logged into Loan Performer, all the screens will appear in the selected language. Other languages supported by LPF are French, Spanish, Russian. However, Loan Performer allows you to translate all the system labels into another language of your choice under the menu System/Configurations/Define Labels.
• Password: Enter a password, which is your secret code. Loan Performer supports letters, numbers or a combination of letters and numbers passwords. This is a compulsory field. The user will be able to change his/her password anytime under the menu System/Change user password. To know more about the qualities of a good password in Loan Performer, go to System/Configuration/Users/User General settings
• Confirm: Re-enter here the same password for confirmation. This is a compulsory field.
• Copy from: On the drop down, select a user whose particulars you want to new user to have. This is usually to make it faster for users who share the same functionality.
• Maximum withdrawal amount an officer may handle: Enter here the maximum amount beyond which the selected user (Normally a cashier) will have to seek authorization from a higher authority to effect the withdrawal under the menu Savings/Savings Withdrawals e.g., "2,000,000/=. The persons to authorize withdraws beyond the cashier limit are set under the menu System/Configuration/Savings/ Accounts Settings and the authorization is done under the menu Savings/Approve withdrawals above cahiers limit.

• Default Cash: Select from the drop down the Cash Account that the user will most frequently be using, "Cash Account". It will appear as the default cash account for transactions carried out by this user. The cash accounts must have been defined under System/Configuration/Cash Accounts.
• This Account only: Tick this checkbox to limit this user to the selected account only. If you want the user to have access to other cash accounts leave this checkbox unticked.
• Access allowed for the following, other cash account(s): You can select other cash accounts to which a user can have access to if required. This is done by holding down the mouse while dragging it downwards to highlight the accounts to be accessed by the user.
• Password valid from: Here you have to define the number of days (from 1 to 999) for which the user's password will be valid, starting from the current system date, e.g., "01/01/2023 for 999 days". After the given period, the password will expire and the user will not be able to log into the program until you change it. It is advisable that institutions password validity period be kept short (30-90 days) so that they can be changed from time to time to avoid fraud.
• Past entries up to: This option allows you to limit the user's ability to enter back-dated transactions. For example, if you enter "0" days, the user, when logged in, will only be able to enter/modify/delete the current day’s transactions. Otherwise you will get the following validation message:

• Time out in minutes before LPF closes: Enter the time (in minutes), e.g., "15" that Loan Performer should take when open and idle before it can log off automatically.
• Background: Here you can choose the background for the Loan Performer application. Click on the ellipsis buttons to browse and choose the file containing the background picture.

Note that, by default, Loan Performer uses the Crystal Clear logo as a background. If you don’t want any background image, leave the text-box empty.

• Amount format: Select the format in which amounts will be displayed from the drop down box, e.g., "English". written as example 1,000.00
• Can add a client: Tick this checkbox if the user is allowed to add a new client in the organisation under the menu Clients.
• Can edit a client: Tick this checkbox if the user is allowed to edit client information in the organisation under the menu Clients.
• Log menu access: This feature is used to monitor users' access to the menu items. If you mark this checkbox, the User Log Report at System/User Log Report will show the users who had logged into the program in the specified period, the menu items accessed and the time of access. If the checkbox is not marked, the User Log Report will only show the users who had logged into the program in the specified period and the login time.
• Default menu: It helps the user to immediately access the most frequently used menu item on login into the program, e.g., "Last loans repayments report". Simply select the required item from the drop-down list box by double-clicking on it. If you don't want to have any default menu item, select "None" from the list.

• Desktop App: Crystal Software Limited runs both a desk top and web App for the officers of Microfinance Institutions to access the Loan Performer data base. This will enable savings and credit officers to enter data directly into the system from within and out side the office. Both Apps connect to the same database. The user will be enabled or denied access to the desk top app here.

• Online access: This menu allows a user to manage MFI / SACCO clients that have on line access allow or deny them use of on line access functionality. It can be used to add clients, delete, update, reset client passwords, deny clients online access. Here a user can either be allowed or denied to manage online access.

• Web App access: Crystal Software Limited has developed a Web Application that enables field officers of Microfinance Institutions to access the Loan Performer data base away in the field. This will enable savings and credit officers to enter data directly into the system from the field. It works in tandem with the desk top to enable data entry and viewing of reports. Both the Web and Desk top applications connect to the same database. The user will be enabled or denied access to the web app here.

• FTP access: The File Transfer Protocol (FTP) is a standard network protocol used for the transfer of computer files between a client in this case LPF desk top and server on a computer network which allows LPF users to transfer/ upload desk top images and documents to a web server that can later be attached by an LPF user when registering a client online via web app. Here is where the added user can be given rights to access/use the FTP menu. • Maximum Loan Approval: Here you enter the maximum amount that the new user is authorized to approve under Loans/Loan Approval, e.g., "5,000,000".
• Maximum overdraft amount that a user can approve: Enter here the maximum amount that the selected user can be able to approve under Savings/Overdrafts/Approve Overdrafts e.g "1,500,000"
• Current Branch: From the drop-down select the branch to which the user belongs, e.g., "KA".
• Fingerprints Capture: LPF provides for users to log in using either a password or finger prints. If the user is required to login using fingerprints rather than a password then click on this button to capture his/her finger prints the following screen appears:

Note that:

i) This can only be possible if the fingerprint capture software has been installed and the settings made at System/Configuration/Fingerprint scanning.

ii) You will also be required to have a finger print license. For more information of this type of license, contact Crystal Clear Software LTD.

• Automatic Capture: When this option is activated the scanner will automatically capture the user's finger prints as soon a thumb is placed on it.
• Sensitivity: The sensitivity level will appear here as configured under System/Configuration/Fingerprint Scanning e.g. "5". The value can only be changed if you activated the check box that allows the user to change it in your configuration.
• Brightness: The brightness level will appear here as configured under System/Configuration/Fingerprint Scanning e.g. "30". The value can only be changed if you activated the check box that allows the user to change it in your configuration.
• Contrast: The contrast level will appear here as configured under System/Configuration/Fingerprint Scanning e.g. "10". The value can only be changed if you activated the check box that allows the user to change it in your configuration.
• Quality: The quality of the of the finger prints will be as configured under System/Configuration/Fingerprint Scanning e.g "80". The finger prints quality can only be changed if you activated the check box that allows the user to change it in your configuration.
• Capture Image: When you place the finger on the scanner, click on this button to capture its finger prints. If the desired quality is not attained, click on the corresponding Refresh button to repeat the procedure.
• Return: Click on this button and the system will automatically save the finger prints in the Loan Performer database. Any attempt to recapture the same finger prints will be rejected by the system as they will already be saved.

Finger print verification at log in:

At login using the finger print as password, first enter the user name e.g. "John" and then activate the checkbox "Fingerprint login". The password field becomes deactivated (See the image below).

Click on the OK button, the fingerprint verification screen appears as shown below:

Capture the finger prints and if they match those stored in the system for the user name enter, login will be accepted.

Click the Save button to add the new user. You will be able to see all system users under System/Configuration/Users/View All Users.
